Packaging Guidelines

How to organize your order

When sending us your order, we require that you order follows some basic packaging principles. This allows us to process your order more efficiently as well as keep your precious memories safe during shipping.

Orders which are sent using insufficient packaging will be charged for the costs incurred for proper packaging for the return shipment.

Recapture Your Memories are not responsible for any lost/damaged packages or their contents.

Photos

Photos should be organized so they are all face up, preferably also organized by size from smallest at the front, to largest at the rear. Bound stacks of picture together with elastic bands. Photos must all be the same orientation. Photos which are face down in the stack will have their back scanned only (unless the backside scanning is selected).

Photos must be clear of tape, staples and any abnormal substances. Any photos which stick together and cannot be automatically scanned will be charged as unusual size photos as they must be scanned individually. This also applies to photos which are mounted, very bent or have very curled corners which cannot be autofed. Photos which are unusual shapes (eg not rectangular/square) will also be charged as unusual size photos.

If mailing in your order, we also recommend placing stacks of photos into large plastic freezer bags, just to make sure they aren't damaged by moisture while shipping.

For scanning groups of photos into folders, the groups must be clearly labelled with their name. We recommend using index cards over post-it notes as post-it notes tend to fall off photos. Groups can be held together using plastic bands or by placing each group (bound with elastic bands) in a separate freezer bag.

Photo orders which are sent with photos not bound to prevent shifting while shipping (eg just thrown in a box) will be charged a fee of 15% for order sorting as well as have backside scanning added to their order.


Slides

Slides must be provided such that are slides are in the same orientation (top up, projection side facing the same direction). If slides are currently in carousels or sleeves, they may be left in that package for shipping. (We will attempt to return your slides in the same positions as they are provided in carousels or sleeves, but do not guarantee it). Loose slides should be bundled with elastics in groups of up to approx 30. If you have a lot of loose slides, a saran wrap or tinfoil box is a good alternative for slide storage.

Slides which are provided backwards will be scanned that way. Slides with badly bent/damaged mounts may be unscannable and will be returned to the client unscanned.


Cassettes

Cassettes should be shipped so that they will not shift or be damaged during shipping. Cassettes must be fully rewound before shipment. A 15% fee may apply to cassettes which arrive not rewound.

For adding track listing metadata to the output audio tracks, cassettes must be packaged with their track listings/cassette sleeve clearly attached to the cassette.


Records

We recommend extreme caution to be taken when preparing records for shipment. Pack your records in a stiff cardboard box and/or plastic box.

Movies

Movies should be shipped so that they will not shift or be damaged during shipping. Movies should be fully rewound before shipment where possible.


Film Movies (8mm, Super-8)

Film reels should supplied in good condition. If you want your films on DVD or digital file in a particular order, please label the reels to indicate the order you want them placed in.
